Dukeries Retreat Ltd. (also referred to as "the company” or “us”) reserves the right to change its website, including prices and terms and conditions without notice. Use of the Dukeries Retreat booking engine and website constitutes acceptance of the company’s Terms and Conditions. We will always ask you to read the Terms and Conditions before confirming your stay and by placing a deposit you confirm that you have done so.
Privacy
Your contact and personal details may be kept by us for future mailings and news. You may opt out of receiving emails at any time by contacting us. We will not pass on or sell your details to any third parties. The full privacy policy is available to read upon request.
Booking
To secure your booking, a 30% deposit (unless alternative arrangements are in force) must be made upon booking. Confirmation of the booking will be sent after the deposit payment has been received. The person booking, when he or she is booking on behalf of other people, is responsible for disseminating the appropriate information to those persons. For example, these Terms and Conditions, directions, and to ensure all members of the party are fully aware of the nature of the campsite, the facilities, the grounds, the services we offer and any appropriate clothing and footwear they will require.
Security Deposit
A booking security deposit of £100 per accommodation unit is added after a booking is received. The security deposit is payable with the balance payment. We aim to refund security deposits immediately after your stay but sometimes your bank may delay the ‘unfreezing’ of the deposit. We have no control over this period – please contact your bank if you have any issues in this regard. Please note that it can take longer if deductions are involved for repairs or replacements. The security deposit is to cover any costs to Dukeries Retreat Ltd. for damage or breakages and for extra cleaning required after a stay. The security deposit will be held against your card and no money will be deducted initially. If you have booked via an agent such as Airbnb, Pitchup, Wowcher etc., we may have to retrospectively take credit card details from you to cover the security deposit.
Cancellation
You have the right to cancel your reservation within 48 hours from your booking date with no charge, provided your rental period is not due to start within 14 days from your booking date. To exercise your right to cancel within this period, you must inform Dukeries Retreat Ltd. in writing of your intention to cancel. Notification should be sent via email to info@dukeriesretreat.co.uk. Initially, notify us as soon as possible by telephone – 07773 181905 or 07536 456235 if you wish to cancel your reservation for any reason after this initial period. If we re-let the accommodation reserved for you for the same rental period at the same cost, your rental cost will be refunded in full, less a £30 administration fee. Please note, Dukeries Retreat Ltd. has no obligation to offer any accommodation subject to cancellation at a discount to other customers. You are advised to obtain insurance cover for your stay to cover cancellation in the event of insurable events. Dukeries Retreat Ltd. may use its discretion to agree to change your booking to another date, subject to availability and any additional costs that may apply at the new date.
Site Rules
Dukeries Retreat is a family-friendly and tranquil campsite set in the Nottinghamshire countryside on the edge of the quiet village of Barnby Moor and is surrounded by wildlife. As such we ask that all guests respect the grounds and countryside in which we are located.
Rubbish Disposal etc.
There are bins are on site and we ask that guests use them properly. Failure to use the refuse bins properly or dropping cigarette ends and other litter means extra unpleasant work for our staff. This especially applies to glitter and balloons (including water balloons). To this end, glitter and water balloons are expressly forbidden. Guests failing to adhere to these conditions will lose £25 of their deposit.
Our firepits are allowed designated areas outside your yurts but never on the decking. We would ask you to refrain from firework displays and the use of Chinese lanterns as these pose a risk to wildlife.
Noise
Dukeries Retreat operate a low-noise policy after 9:00pm and we would appreciate your compliance in this matter. Music is permitted at a reasonable volume that is respectful of other guests, however we require music to be turned off by 9:00pm. If your pitch can be heard by other pitches, your music is too loud!
If you have booked the whole site, music can be played at the bottom of the field, in the marquee until 11.00pm. Small speakers are permitted but not amplifiers. Again, if music, chanting, singing etc. can be heard at the area around the toilet block and the house, it is too loud. We have a separate contract for full-site bookings who wish to use the marquee.
Health & Safety
Before use of the on-site wood-fired hot-tubs, fire-pits, gas stoves and pizza oven, guests must read the terms of use and health and safety implications and take full responsibility for their safe and proper usage. We would recommend careful consideration with use of firepits in windy weather. Full instructions for the use of the in-tent electric fire, fire pits and pizza oven can be found in your welcome pack which will have been emailed to you before your arrival. Candles and tea lights used outside of the tents must be within candle holders and containers when alight. They are not permitted inside the yurts.
Arrival and Departure Times
Tents are generally ready by 3pm and we ask for arrivals after this time, unless you have paid for an early check-in. Please let us know your estimated time of arrival. It is helpful if you call us when you arrive. We will make every effort to greet you on arrival, but if we have been called away or we are greeting other guests, please refer to the welcome pack which was provided by email with a map of the site showing you how to find your tent and the facilities. In this event we will make every effort to greet you asap. Guests are requested to vacate their tents by 10.00am on day of departure, unless you have paid for a late check-out.
Your Visit to the Campsite
Dukeries Retreat campsite is in the countryside and as such there are natural hazards such as tree roots, rabbit holes, poisonous plants and limited lighting after dark and depending upon weather conditions, cold, wet and slippery surfaces. Throughout the year, your yurt, although cosy and dry, may also become home for the short term to some of our other residents such as insects, spiders etc. Please keep your tents zipped up to help avoid any unwanted guests. By booking you agree to be responsible for your children and any dependants of children you oversee and your own welfare and to take all reasonable precautions against personal injury, injury to others and damage to the facilities and tents, such as litter, fire, noise after 9.00pm. Dukeries Retreat accepts no responsibility for injury occurred onsite. Anything you bring to the campsite and any damage or loss to your possessions is at your own risk.
By booking and acknowledging these Terms and Conditions, you are aware of the risks, hazards, and dangers of personal injury in entering Dukeries Retreat. Camping in Britain can mean unpredictable weather. Whilst we supply certain facilities and equipment, it is still camping and you are responsible for your own well-being and comfort regarding appropriate clothing and footwear etc. Be aware the yurts are cotton canvas and in prolonged and heavy rain the tents may leak. Dukeries Retreat cannot be held responsible for poor weather conditions during your stay.
Health and Safety
We want you to enjoy your time at Dukeries Retreat. Please make sure you have read your welcome pack which contains safety information as well as tips for things to do on your stay. If you want to use the pizza oven on your stay, a member of staff will happily give you instructions if you require it.
Customer Complaints
In the first instance of a complaint, please tell a member of staff at the campsite so we can attempt to resolve your problem. Please address any correspondence regarding complaints to; Complaints - Dukeries Retreat Ltd. Hill Crest Farm, Barnby Moor, Retford, Notts DN22 8QS. Please note that complaints received after your stay cannot be reliably investigated and therefore are most difficult to resolve. Also bringing any issues to our attention at the time allows staff to seek to remedy it as quickly as possible so you can enjoy your stay.
Miscellaneous
1. Please inform us during your stay of any accidental damage so we can identify it as not malicious and replace it for you.
2. At Dukeries Retreat we provide various bins. When departing, we ask that you take your rubbish and empty it in the designated bins provided. Additional charges will be incurred for any rubbish left in tents.
3. Disposable BBQs are strictly prohibited on the decking area or directly onto the grass. If you do want to use one, please ask for a base to use on the grass. Burnt grass will be subject to (partial) loss of deposit.
4. We do not allow the use of glitter or water balloons on site, as this causes excessive cleaning and if there is any evidence of this, you will lose your deposit.
5. Smoking or vaping is strictly prohibited in the yurts or on the decks. Evidence of smoking or vaping will result in your deposit being lost.
6. Please keep your personal belongings and valuables safe. Dukeries Retreat cannot be held responsible for any lost or stolen items.
7. No pets are not allowed at the campsite, except if your booking is for our dog-friendly accommodation units. Dogs must be always kept on a lead and any dog-waste removed.
8. We have security cameras covering the perimeter of the site.
For any booking made by staff on your behalf on the booking system or any other way that you have requested or agreed (and in coming to the camp it is deemed you had requested or agreed) it is deemed that in so doing and coming to the camp you accept the Terms and Conditions. Any aggressive or violent behaviour towards Dukeries Retreat staff or its customers will result in you being told to leave the site immediately. If this behaviour continues, relevant authorities will be involved. We also reserve the right to refuse entry to the campsite, cancel bookings, or instruct people to leave the campsite for any reason (for example, due to inappropriate, violent or aggressive behaviour, dangerous weather or site conditions).
