Dukeries Retreat Ltd. (also referred to as "the company” or “us”) reserves the right to change this website, including prices and terms and conditions without notice. We also reserve the right to refuse entry to the campsite, cancel bookings, or instruct people to leave the campsite for any reason (for example due to inappropriate, violent or aggressive behaviour, dangerous weather or site conditions). Use of the Dukeries Retreat website constitutes acceptance of the company’s Terms and Conditions. We will always ask you to read the terms and conditions before confirming your stay and by placing a deposit you confirm that you have done so.
Privacy
Your contact and personal details may be kept by us for future mailings and news. You may opt out of receiving emails at any time by contacting us. We will not pass on or sell your details to any third parties. The full privacy policy is available to read upon request.
Booking
To secure your booking a 30% deposit must be made upon booking. Confirmation of the booking will be sent after the deposit payment has been received. The person booking, when he or she is booking on behalf of other people, is responsible for disseminating the appropriate information to those persons. For example, these Terms and Conditions, directions, and to ensure all members of the party are fully aware of the nature of the campsite, the facilities, the grounds, the service we offer and any appropriate clothing and footwear they will require.
Groups
We welcome mixed-sex group bookings. If you are are a same sex group booking such as a hen or a stag do we may be able to accomodate but we do need to you confirm with us in advance prior to making your booking and we will see if we can accomodate based on the other guest on site.
No group bookings/hen/stag parties will be permitted without prior agreement. Failure to notify us may forfeit your stay. Please do not make group bookings online - please call.
Security Deposit
A group booking security deposit of £100 per accommodation unit is held are you make your booking. We aim to refund security deposits quickly, but it can take longer if deductions are involved for repairs or replacements. The security deposit is to cover any costs to Dukeries Retreat for damage or breakages and for extra cleaning required after a stay. The security deposit will be held against your card and no money will be deducted initially.
Cancellation
Bookings are non-refundable. They can be held over to a non-peak date, subject to availability, later in the year or the following year. If you change to another date for which a higher sum is charged, you will need to pay the difference at the time of change. Any cancellation or change must be confirmed by email, by the person who made the booking. Dukeries Retreat cannot be held responsible for cancellations due to natural disasters, acts of God or national emergencies. In the case of such cancellations, we will work with customers to reschedule bookings to a mutually acceptable time.
We strongly advise visitors to take out full holiday insurance to cover cancellations, public liability, personal belongings, loss etc.
COVID 19 Cancellations
The coronavirus outbreak is a force majeure event and one that could not have been predicted. We are committed to honouring all existing bookings and would ask guests to work with us to reschedule any existing 2022 bookings to any point until the end of the 2023 season should we be forced to close due to Government restrictions. We would ask customers to consider that these measures represent a financial loss for us, but it is a loss we are prepared to bear for the sake of our customers. You will not lose money if you book now and government regulations due to Covid-19 mean you cannot travel but we strongly recommend you take out travel insurance.
Site Rules
Dukeries Retreat is a family-friendly, peaceful and tranquil campsite set in the Nottinghamshire countryside on the edge of the quiet village of Barnby Moor and is surrounded by wildlife. As such we ask that all guests respect the grounds and countryside we are located in.
Recycling is a priority for Dukeries Retreat and we take it very seriously. A number of clearly-marked bins are on site and we ask that guests use them properly. Failure to do so means extra unpleasant work for our staff as they have to recycle retrospectively. Guests failing to recycle will lose £20 of their deposit.
In addition, other non-recycleable rubbish must be properly bagged before being placed in the bins provided on each deck. Guests failing to do so will lose £20 of their security deposit.
Firepits are allowed on site in designated areas outside your tents.
We would ask you to refrain from firework displays and the use of Chinese lanterns as these pose a risk to wildlife.
Dukeries Retreat operate a low-noise policy after 9:00pm and we would appreciate your compliance in this matter. Music is permitted at a reasonable volume that is respectful of other guests, however we require music to be turned off by 9:00pm.
Before use of the on-site wood-fired hot-tubs, fire-pits, gas stoves and pizza oven, guests must read the terms of use and health and safety implications and take full responsibility for their safe and proper usage. We would recommend careful consideration with use of firepits in windy weather. Full instructions for the use of the in-tent electric fire, fire pits and pizza oven can be found in your welcome pack which will be waiting for you in your tent.
Candles and tea lights used outside of the tents must be within candle holders and containers when alight.
Please inform us during your stay of any accidental damage so we can identify it as not malicious and replace it for you.
At Dukeries Retreat we provide recycling facilities. When departing, we ask that you take your rubbish and empty it in the designated bins provided in the ‘Recycling and Waste Room’. Additional charges will be incurred for any rubbish left in tents.
Disposable BBQ’s are strictly prohibited on the decking area, if you do want to use one please ask for a base to use on the grass.
Smoking is strictly prohibited in the bell tents, yurts or anywhere on the decking. Evidence of smoking will result in your deposit being lost.
Please keep your personal belongings and valuables safe. Dukeries Retreat cannot be held responsible for any lost or stolen items.
Dogs are allowed if pre-booked in the dog specific bell tent (Max 1 Dog per booking) or Yurts (Max 2 dogs per booking).
For any booking made by staff on your behalf on the booking system or any other way that you have requested or agreed (and in coming to the camp it is deemed you had requested or agreed) it is deemed that in so doing and coming to the camp you accept the terms and conditions. Any aggressive or violent behaviour towards Dukeries Retreat staff or its customers will result in you being asked to leave the site immediately. If this behaviour continues, relevant authorities will be involved.
Arrival and Departure Times
Tents are generally ready by 3pm and we ask for arrivals after this time. Please let us know your estimated time of arrival. We will make every effort to greet you on arrival, but in the event we are called away all guests will be provided by email with a map of the site showing you how to find your tent and the facilities. In this event we will make every effort to greet you asap. Guests are requested to vacate their tents by 10.00am on day of departure.
Your Visit to the Campsite
Dukeries Retreat campsite is in the countryside and as such there are natural hazards such as tree roots, rabbit holes, poisonous plants and extremely limited lighting after dark and depending upon weather conditions, cold, wet and slippery surfaces. Throughout the year, your tent, although cosy and dry, may also become home for the short term to some of our other residents such as insects, spiders etc. Please keep your tents zipped up to avoid unwanted guests.
By booking you agree to be responsible for your children and any dependants of children you oversee and your own welfare and to take all reasonable precautions against personal injury, injury to others and damage to the facilities and tents, such as litter, fire, noise after 9.00pm. Dukeries Retreat accepts no responsibility for injury occurred onsite. Anything you bring to the campsite and any damage or loss to your possessions is at your own risk.
By booking and acknowledging these Terms and Conditions, you are aware of the risks, hazards, and dangers of personal injury in entering Dukeries Retreat. Camping in Britain can mean unpredictable weather. Whilst we supply certain facilities and equipment, it is still camping and you are responsible for your own well-being and comfort regarding appropriate clothing and footwear etc. Be aware the tents are cotton canvas and in prolonged and heavy rain the tents may leak. Dukeries Retreat cannot be held responsible for poor weather conditions during your stay.

Health and Safety
We want you to enjoy your time at Dukeries Retreat. Upon arrival you will find an information pack in your tent containing safety information as well as lots of maps, leaflets and tips for things to do on your stay. If you want to use the pizza oven on your stay, a member of staff will happily give you a full induction for the required facility.
Partners
Guests using any partner companies for services such as bike hire, clay pigeon, spa, archery, catering etc. are bound by the terms and conditions of those companies.
